Terms of use

1. Who we are, and these terms

Cabledox is operated by Cabledox Solutions Ltd, a company registered in England and Wales under company number 17265232, with its registered office at [REGISTERED OFFICE ADDRESS]. In these terms "we" and "us" mean Cabledox Solutions Ltd, and "you" means the organisation or individual using the service.

By creating an account or using Cabledox you agree to these terms. If you are accepting on behalf of an employer, you confirm you are authorised to do so. If you do not agree, do not use the service.

Where a separate written agreement is in place between us, such as a pilot agreement or a subscription agreement, that agreement takes precedence over these terms to the extent of any conflict.

2. Early access

Cabledox is currently offered on an early access basis. Features may change, be added or be withdrawn during this period, and we do not offer a service level commitment. We will give reasonable notice of significant changes where it is practicable to do so.

3. Accounts

You are responsible for the accuracy of the registration information you provide, for keeping account credentials confidential, and for activity carried out under accounts you or your administrators create, including accounts issued to site operatives.

Tell us promptly if you believe an account has been compromised. We may suspend an account where we reasonably believe it is being misused or presents a security risk.

4. Your data stays yours

All content you upload or create in Cabledox — cable schedules, drawings, records, test results, photographs and handover documents — remains yours. We claim no ownership of it.

You grant us the limited licence needed to host, process, back up and display that content in order to provide the service to you, and for no other purpose. We will not use your project data to market to your clients, and we will not disclose it to another customer.

You are responsible for having the right to upload the documents you upload, including where they originate from a client or a consultant.

You can export your data at any time while your account is active. On termination you will have 30 days to export it before deletion. Where your own retention obligations require a longer period, we will agree that with you in writing.

5. What Cabledox is, and what it is not

This section matters more than the rest. Please read it.

Cabledox is a record-keeping and document control tool. It records what was specified and what was installed, and assembles that record into a handover pack.

  • It is not a design tool. Cabledox does not perform electrical design, does not size cables or protective devices for you, and does not produce schematics or single line diagrams. Design decisions remain those of a competent person.
  • It does not certify compliance. Cabledox is not an accreditation scheme and does not certify that work complies with BS 7671 or any other standard. It does not replace inspection, testing or certification obligations, or the professional judgement of the person carrying them out.
  • It does not replace the contract documents. Where the platform holds a value that differs from the consultant's or client's issued documentation, the issued documentation governs.

6. AI-assisted features and your review obligation

Some features, including PDF cable schedule import, use AI to extract information from documents you provide. These features are assistive. Where the software is not confident about a value it flags it for review rather than filling in a guess, but no extraction is guaranteed to be correct.

You must review AI-extracted data before relying on it. Confirming an extracted value in the review screen is your confirmation that it is correct. We are not liable for loss arising from reliance on unreviewed extracted data.

7. Acceptable use

You agree not to use Cabledox to store unlawful content, to attempt to gain access to accounts or data that are not yours, to probe or disrupt the service, to reverse engineer it, or to resell or provide access to it to a third party without our written agreement.

8. Availability, support and backups

We aim to keep the service available and to respond promptly to problems reported through the in-app support feature or by email. During early access no uptime target applies. We may take the service down for maintenance, and will try to do so outside normal working hours.

We take regular backups of the database. Uploaded files, including drawings and photographs, are stored separately and are not covered by those database backups. You should keep your own copies of documents you upload. We will tell you if this changes.

9. Fees

Where a pilot is agreed in writing as free of charge, no fees are payable for the pilot period and nothing in these terms creates an obligation to pay for it.

Otherwise, fees are those set out in your subscription or written agreement. Fees are payable in advance and are exclusive of VAT. We may suspend access where fees remain unpaid after written notice.

10. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else which cannot lawfully be limited.

Subject to that, neither party is liable for indirect or consequential loss, or for loss of profit, revenue, contracts or anticipated savings.

Subject to the above, our total liability arising in connection with the service in any twelve month period is limited to the greater of the fees you paid us in that period and £25,000.

We maintain professional indemnity and public liability insurance, each with a limit of £1 million.

You remain responsible for the accuracy of the data you enter, and for the electrical work itself. Cabledox records work; it does not carry it out.

11. Confidentiality

Each party will keep the other's confidential information confidential and use it only for the purposes of the agreement. This includes your project documentation and your clients' information, which we treat as confidential to you.

12. Intellectual property

The Cabledox platform, its software, design and the Cabledox name and marks are ours and remain ours. Nothing in these terms transfers any right in them to you beyond the right to use the service.

If you send us feedback or suggestions, we may use them to improve the product without obligation to you.

13. Suspension and termination

You may stop using the service and close your account at any time. We may suspend or terminate access where you materially breach these terms and, where the breach can be put right, fail to do so within a reasonable period of being asked.

On termination, section 4 governs export and deletion of your data.

14. Personal data

Our handling of personal data is described in our Privacy Policy, which forms part of these terms. Where we process personal data contained in your project content, we do so as your processor on your instructions.

15. Changes to these terms

We may update these terms. The version number at the top of this page changes whenever we do. Where a change is material we will notify existing users and may ask you to accept the new version before continuing to use the service.

16. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
